Anyone with a project at hand, be it a business, a website, or even a personal goal needs a way to manage it and bring it alive.

At this day and age, one of the most important decisions one can make is to digitize and automate your processes. That’s where Project Management software comes in handy.

For each type of project, however, there’s a tool that is a better fit than another. A PM tool that would manage a business is not the same tool that would manage a personal project, for instance.

Cloudswave has invited Paymo’s founder, Jan Lukacs, to shed light on a few project management dilemmas that a lot of new users have.

Paymo is one of the leading Project Management apps in the market, but it’s not just that, it also offers Time Tracking, Task Management, and Invoicing all in one place. Paymo also ranked among the Top 3 Project Management Software in the 2015 Cloudswave Awards!

1. Do you believe that having a Project Management software in place is highly beneficial and useful? Why?

Having a PM system in place at any company creates order out of daily chaos of managing a business. It’s really tough to control people and workflow without a PM system in place.

Maybe a single exception comes into mind where a PM software might not be effective – very small teams (2-3 people) that know each-other well.

In that case sometimes more simple methods of managing tasks might work better, however if the team wants to grow, it’s best to adapt to a workflow using a PM software.

2. Do you think that a startup could take advantage of a PM software as much as an already-established business?

I think this is not an option – as a startup company you need to compete with established players, and you need to use the same tools or better tools to compete. We’re at a unique place in time that you can actually do that without huge upfront costs like in the past.

3. What features would an ideal PM software have?

An ideal PM software should have all the tech tools that an organization needs in the same place, communicating with each other. Another crucial feature i think is time tracking, the cornerstone of successful project delivery.

4. How do you successfully introduce a Project Management strategy to a company  that never had one?

First one should analyze the workflow of the company, then based on the finding the company should look for software that fits with their workflow.

Workflows can be improved and should be changed if the analysis finds gaps, sometimes the inspiration for the improved workflow can come from a PM software.

5. How do you see technology changing the role of Project Managers?

Technology makes it easier to manage projects for a lot of people who don’t necessarily have PM background.

6. What are the challenges faced by PM software providers? How about the ones faced by PM software users?

One would be tough competition, a myriad of options available and more cropping up every week. The other might be scaling, we’re hearing constantly from customers that come to Paymo about scaling issues at other providers.

PM software users have a very tough time finding an app due to the volume of available options, it’s very time intensive to find an app that works for your organization. There’s also a disconnect  between marketing and the actual products that are disappointing in a lot of cases.

8. How to avoid common Project Management pitfalls?

A common pitfall is choosing a pm suite that is too complicated and hard to manage. You can avoid it by spending a bit of time looking at available options.

9. What is the future of Project Management? What are you most excited about in this field?

I think the future is convergence, having tools under the same roof nicely integrated with each-other. I’m really excited by the new web technologies that allow us to ship desktop grade like apps in the browser.

10. How did you get started with Paymo? Can you tell us more about your story?

In 2007, while running our web design agency Light Design Studio we’ve constantly had trouble keeping the company profitable.

We’ve soon learned that many of our problems came from the lack of time management that usually meant that we were under billing our time.

We took matters into our own hands and created a simple online app for time tracking. After using it successfully in our business for a year we’ve decided to make it public and Paymo was born.

The premise was simple, Paymo – wise tracking pays more. Read more about the Paymo story.
